AI Integration with ERP and CRM in Practice
Engineering approach and system architecture
I solve business problems by starting with the process. No rigid ready-made templates: I build software around your procedures.01 // MODULE
What Determines the Cost
Pricing depends on the system already in place, whether it has an API, whether AI only reads or also writes, and how many objects—orders, business partners, or stock levels—need to return without manual copying.
After the call, you receive the integration scope and write-access risks. A new system from scratch belongs under CRM and ERP systems; the store under online stores.
Who It's For
02 // MODULE
Who AI ERP and CRM integration is for
For businesses with data in a CRM, ERP, e-commerce platform, or spreadsheets that want to use AI without rebuilding their entire infrastructure. Scope: API integrations, data synchronization, AI classification, reports, automated entries, alerts, and error handling.

What changes in the source systems
The common scenario: AI reads an email or document, identifies intent, retrieves CRM/ERP data and prepares an action for approval or execution.
Less manual CRM data entry
Automatic reports from company data
Better search across documents and records
Workflow between ERP, CRM, store, and email

How I add AI without replacing the ERP
01
System inventory
I check APIs, exports, webhooks, data structures, and security constraints.
02
Process Model
I design the data flow:
what AI reads, decides, and writes, and where human approval is required.
03
Secure integration
I add logs, limits, retries, roles, and monitoring to make automation predictable.

AI integrations with ERP and CRM without replacing your infrastructure
I connect AI to the ERP, CRM or store you already have. I do not replace it. Process automation and this connection are different jobs: here, what matters is where the model gets data and where it may write it.
01
AI delivers the most value where the data is
CRM, ERP, e-commerce, helpdesk systems, and spreadsheets hold knowledge the team uses every day.
The problem is that accessing this knowledge can be slow: people need to find records, compare statuses, copy data between systems, and write notes manually. AI integration should shorten the distance between a question and an action. For example, a customer emails a request for a quote. AI identifies the intent, retrieves CRM data, checks the contact history, fills in missing fields, creates a brief, and passes the case to a salesperson. The model does not operate in isolation; it uses company data through controlled integrations.
02
Not every system has a good API, but that does not end the project
Modern systems usually have APIs and webhooks.
Older ERP systems often provide exports, database access, files, queues, reports, or interfaces that require a connector between systems. Before quoting an integration, I check how data can actually be retrieved and saved. Sometimes an approval dashboard is better than automatic writes to the ERP. AI prepares a record, a person reviews and approves it, and the system saves the change with a complete log. This still saves time while reducing the risk of incorrect data.
03
RAG, semantic search, and reports
AI integrations can use a company knowledge base to retrieve the information needed for a specific task.
06 // MODULE
Where integration ends and a new system begins
I connect AI to an existing ERP, CRM, or store: reading, classification, writing, and reporting. I do not build a new application from scratch or replace the helpdesk.
If the process can be handled by a workflow outside the source system, automation is enough. If the tools are chaotic and it is unclear what to change, an AI audit comes first.
A new dashboard tailored to a process belongs to custom software development. I describe how I connected a store to an ERP in the B2B store integration with Symfonia case study.
Decision API integrations, data synchronization, AI classification, reports, automatic entries, alerts and error checking. The common scenario: AI reads an email or document, identifies intent, retrieves CRM/ERP data and prepares an action for approval or execution.
I start by reviewing the APIs, webhooks, or exports from the Comarch, Symfonia, or CRM systems already used by the company. Only then do I add classification, draft records, or reports.
Building a new ERP from scratch is a separate service, not part of integration. I add AI alongside a system that already works.
Implementation in practice
07 // MODULE
How I protect data during AI integration
The integration brings AI into the records you already have rather than making the team rebuild the ERP. I connect the model to the API and leave approval of entries to a person.
01
Field and permission inventory first
I check what the system exposes through its API, who can write records, and which fields are mandatory.
Without this, AI will guess the structure.
02
One scenario to start
Typical initial scope:
an email or document arrives, the model identifies the intent, retrieves CRM context, and leaves an entry for approval.
03
The connection records a change history
I do not give the model direct access to production without an audit trail.
I log the input, decision, record identifier, and reason for rejection.
04
A person approves records that affect money
A change to a price, invoice, or customer limit is not immediately made autonomously.
The agent prepares; the operator confirms.
05
After launch, I add channels, not a new ERP
If the first scenario maintains quality, I add another document type or queue.
I do not sell replacing a system as an integration. Pricing

AI ERP and CRM Integrations
FAQ
Frequently asked questions about AI integrations with ERP and CRM: architecture, implementation, data security, costs, and technologies:
01 Can AI integrate with an old ERP? +
Often, yes. If there is no API, I use exports, databases, files, RPA, or software that connects the systems.
02 Can AI write data to CRM? +
Yes, but I recommend approval mode for critical data. Automatic writes work well when risk is low and the rules are clear.
03 Are the integrations secure? +
I design them with logs, permissions, limited data scope and error monitoring.
04 Who is AI integration with ERP and CRM for? +
For companies with CRM, ERP, e-commerce or spreadsheet data that want AI without rebuilding all their infrastructure.
05 What do AI ERP and CRM integrations include? +
API integrations, data synchronization, AI classification, reports, automated entries, alerts, and error handling.
06 What business benefits do AI ERP and CRM integrations deliver? +
The common scenario: AI reads an email or document, identifies intent, retrieves CRM/ERP data and prepares an action for approval or execution.
07 What does the first phase of AI integration with ERP and CRM look like? +
I check how data currently enters and leaves the systems: Comarch or Symfonia APIs, CRM webhooks, CSV exports, or queues. Based on that, I decide whether AI only reads and prepares a record for approval or can write a field. Without this assessment, an integration cannot be priced.
08 Does AI integration with ERP and CRM require replacing existing systems? +
That is the point of integration: Comarch, Symfonia or the CRM stays. AI reads, classifies and, where appropriate, writes through an API or approval dashboard. If there is no API, I build a program connecting the systems rather than a migration.
09 What data is needed for AI integration with ERP and CRM? +
We need API documentation or a sample ERP or CRM export, the record structure and information about which fields may be overwritten. If there is no API, a file, report or queue access is enough to plan the connection.
10 Can AI connect to an old ERP or CRM without migration? +
Yes, if the system has an API, database or exchange files. I start with one flow, such as recording an order or classifying an email.
11 Will AI integration with the ERP overwrite your system data? +
Not blindly. First, suggestion mode or an approval queue; writing follows once the rules and logs are clear.
12 What remains after connecting AI to your existing ERP and CRM? +
Automatic records, less manual retyping, reports based on data already in the system, and workflows connecting the store, ERP, and email.
